Apprentice Business Administrator

This role will suit a school / college leaver with a desire to start a career within administration. 

It will give you a good overview of how a busy office runs, with the opportunity to speak to clients both on the phone and face to face, as well as learn from more experienced members of staff.

Efficient administration is a vital part of any business infrastructure and helps to support our accountants in their day to day activities.

The apprentice business administrator will support staff across the office, ensuring all administrative processes are managed in a smooth, proactive and efficient manner. You will also act as the back-up receptionist at the Banbury office. The role will also provide administrative support to the HR team, the financial controller and the directors. 

  • In the absence of the receptionist, cover all reception duties such as taking incoming calls and transferring them and meeting and greeting visitors to the office; this should be done in a friendly, polite and efficient way. 
  • On a daily basis, deal with both incoming and outgoing post. Scan and distribute post as necessary and ensure that all outgoing post is franked for collection daily. Maintain the franking machine to ensure credits/ink/reports are maintained as necessary.
  • Answer overflow calls if the receptionist is already occupied. 
  • Scanning and storing of documents.
  • Work with the receptionist to organise the collection/return of client books/records. Liaise with clients to arrange collections when appropriate and work with managers/staff to chase clients as necessary and ensure signed documents are returned as required.
  • Work with the receptionist to monitor the books in/out folder to ensure that the content of book cupboard is always accurate and up to date.
  • Track stocks of stationery, drinks, hand sanitiser and other office supplies, place orders and re-stock when necessary. Arrange shredding and inform staff of details.
  • Support the HR team; running reports, sending emails, collating information.
  • Support admin staff with typing, bills and marketing work as required.
  • Prepare desks for Banbury new starters, making up welcome packs for all new staff.
  • Keep meeting rooms tidy and stocked.
  • Undertake and complete any other ad hoc office administration tasks as necessary to ensure the continued efficient running of the Banbury office.
